What the Grayson County Young Republicans collects, why, and who can see it. Last updated October 25, 2026.
The Grayson County Young Republicans (the “club,” “we”) is a volunteer club in Grayson County, Texas. We are an independent club, not the Grayson County Republican Party. This page covers this website, graysonyr.org, and the club’s @graysonyr.org email addresses. We try to collect as little as we can.
What we collect
- Joining the club. Your name, email, phone number and city, and your confirmation that you are between 18 and 40. We keep this while your application waits for admission. Once you are a member we also keep your role, when you joined, and your meeting attendance, which the Bylaws use to decide who may vote.
- Updates sign-up. Your email address, and your name if you give it.
- RSVPs and volunteer sign-ups. Your name, email, your answer (going, maybe or can’t make it), and any phone number, note or arrival time you choose to add.
- Contact form. Your name, email and message.
- Email to the club. If you write to any @graysonyr.org address, we keep a copy of your message, and of any reply we send.
- Signing in. We email you a one-time code or link, so there are no passwords. After you sign in, your browser keeps one cookie so you stay signed in, for up to 180 days or until you sign out.
- What members do in the member area. Votes, meeting check-ins, comments and drafts on club documents, photos and files you upload, and your account settings.
- Basic technical data. Our hosting provider, Cloudflare, sees your IP address and browser details when you load a page, as any web host does, and may keep short-term logs for security and reliability. We do not store IP addresses in the club’s own records.
We do not run advertising, ad trackers or analytics tools on this site, we do not take payments, and we do not send text messages.
How we use it
- To run the club: contact you, send meeting notices and updates, plan events, keep the member list, and hold and record votes.
- To answer messages you send us.
- To keep the site secure, and to meet legal duties.
Who can see it
- Club officers can see applications, members’ contact details, RSVPs and sign-ups, meeting attendance, messages sent to the club, and how each member voted on a club vote.
- Other members, once signed in, see a member directory with each member’s name and city, and also their email and phone number unless that member turns on the option to hide them in their account. Members can also see vote totals, the names of volunteers on sign-up lists, and photos and files uploaded to the member area. Each member sees only the club email addresses assigned to them.
- The public. Event and meeting pages never show who has RSVPed. Meeting minutes, once approved, may be posted on this site and record who was present, who made motions, and vote totals.
We do not sell or rent your information, and we do not give member or sign-up lists to the county party, campaigns, candidates or any other group. We would share your information only if you ask us to, or if the law requires it.
Services that help us run the site
- Cloudflare hosts the site, stores its data and the club’s email, and sends our email.
- Google Fonts. Pages load their typefaces from Google, so your browser contacts Google when a page opens.
- Email forwarding. Some club addresses forward a copy of incoming mail to the personal inbox of the officer who handles that address.
- Notifications. If you turn on notifications in the member area, your browser’s own push service (from Google, Apple, Mozilla or Microsoft, depending on your browser) delivers them.
- Apps you connect. If you connect an outside app, such as an AI assistant, to your club account, it can see what you can see, and that app’s own privacy policy applies.
- Facebook. If you follow our link to Facebook, Facebook’s own privacy policy applies there.
How long we keep it
We keep member, sign-up and contact information while it is useful for club business, and we delete it when you ask (see below). Records of club business, such as minutes, votes, attendance and governing documents, are kept as the club’s permanent record. Sign-in codes expire after 30 minutes and work only once.
Your choices
- Stop emails. Reply asking to be removed, or write to us at the address below.
- Update or hide your details. Members can change their name, phone and city, and hide their email and phone from other members, in their account.
- See, correct or delete your information. Email us and we will do it, usually within 30 days. We may keep what the club’s permanent record needs, such as a past vote or meeting attendance.
- Cookies. The only cookie we set keeps you signed in. Signing out removes it, and you can block it in your browser (you just will not be able to stay signed in).
Security
The site uses HTTPS and one-time sign-in codes, and access is limited by role. No system is perfectly secure, so please do not send us anything highly sensitive.
Children
The club is for adults aged 18 to 40. This site is not meant for children under 13, and we do not knowingly collect information from them. If you think a child has given us information, tell us and we will delete it.
Changes
If we change this policy we will post the new version here and update the date at the top.
